Privacy Policy

At Chumi, we take your privacy seriously. This Privacy Policy explains how we collect, use, store, and protect your personal information when you use our application.
1. Information We Collect
We collect the following types of information to provide and improve our services:
Account Information
- Email address
- Display name
- Account credentials (securely hashed)
Pet Data
- Pet name, species, and breed
- Weight and age
- Medical notes and health history
Triage Conversations
- Symptom descriptions you provide
- AI-generated triage responses
- Triage history and results
Location Data
- Approximate location (used to find nearby veterinary clinics)
- Location data is only collected when you use the "Find Vets" feature and grant permission
Usage Analytics
- App usage patterns and feature interactions
- Device type and operating system
- Crash reports and performance data
2. How We Use Information
We use the information we collect for the following purposes:
- Provide AI-powered pet health triage and guidance
- Help you find nearby veterinary clinics based on your location
- Improve our AI models and triage accuracy
- Send important notifications about your pet's health or account
- Analyse usage patterns to enhance the user experience
- Ensure the security and integrity of our service
3. Data Storage
Your data is stored securely using Firebase and Google Cloud infrastructure. All data is encrypted in transit using TLS/SSL protocols. We employ industry-standard security measures to protect your information from unauthorised access, alteration, or destruction.
4. Data Sharing
We do not sell your personal data to third parties.
We may share your information with the following parties only as necessary to operate the service:
- Firebase (Google) — infrastructure, authentication, and data storage
- Google AI — processing triage conversations to generate responses
- Legal authorities — when required by law, court order, or governmental regulation
All third-party services we use are bound by their own privacy policies and data protection agreements.
Sharing your pet's record by link
Chumi includes an optional "Share with vet" feature. When you choose to use it, Chumi creates a private web link to a read-only copy of that pet's health record so you can show it to a veterinarian or another person you trust. Generating and sending this link is always your choice.
- What the link shows. Anyone who opens the link can view that pet's full record as held in Chumi — including the pet's profile, AI-generated health summaries, the medical and activity timeline, and any documents you have uploaded together with their AI-extracted summaries. It does not give access to your account, your other pets, your login, or your payment details.
- The link is unlisted but not password-protected. The link contains a long, random, unguessable token instead of a login, so anyone who has the link — including anyone you forward it to, or anyone they pass it on to — can view the record without signing in. Treat the link like a password: only send it to people you trust, over a private channel.
- The link expires automatically. Each share link stops working 30 days after it is created. After that it must be regenerated before it can be shared again.
Because you decide whether to create and send a share link, this is sharing that you initiate — not sharing by Chumi. We do not send your pet's record to any third party on your behalf through this feature.
5. Your Rights
You have the right to:
- Access — request a copy of all personal data we hold about you
- Delete — request the deletion of your account and all associated data
- Export — request a portable copy of your data in a standard format

6. Children's Privacy
Chumi is not intended for use by anyone under the age of 18. We do not knowingly collect personal information from anyone under 18. If we become aware that we have collected data from a person under 18, we will take steps to delete that information as quickly as possible. If you believe a person under 18 has provided us with personal data, please contact us immediately.
7. Data Retention
- Account data (email, name, pet profiles) is retained for as long as your account is active. You may request deletion at any time.
- Triage history and conversation data is retained for 12 months from the date of the conversation, after which it is automatically deleted.
- Usage analytics data is retained in anonymised form and may be kept indefinitely for service improvement purposes.
8. Pet Documents You Upload
Chumi lets you upload documents about your pet — for example a photo or PDF of a vaccination record, blood-test result, prescription, imaging report, or a registration, microchip, or ownership document. Uploading is always your choice.
What we do with an uploaded document
- We keep the original. Your original file is stored securely so that you, the owner, can view it at any time as part of your pet's health record. The original is always retained and is never replaced by any automated summary.
- We use AI to label and summarise it. We send the document to Google's Gemini AI, which automatically assigns it a category (such as "vaccination" or "blood test"), gives it a short title, and writes a brief summary of what the document says. This helps you organise your records and gives Chumi's in-app AI assistant useful context about your pet.
- The AI summary is clearly marked. Any AI-generated summary is shown alongside the original document and labelled as AI-extracted information that should be verified against the original. Chumi treats it as owner-provided context, not as verified veterinary or clinical fact.
Where documents are stored. Uploaded documents are held in our secure cloud storage (Google Cloud Platform / Firebase, in the United Kingdom / europe-west2 region) and are encrypted in transit and at rest.
Who processes them. To provide the automatic labelling and summary, your document is processed by Google as our service provider through the Gemini API, acting on Chumi's instructions. We do not sell your documents and we do not use them for advertising.
How long we keep them. Unlike temporary data exports (which are deleted automatically after a short period), an uploaded document is retained as part of your pet's record until you delete it. Deleting a document — or deleting the pet it belongs to — permanently removes the original file and its AI-extracted summary from our systems.
Your choices. You can view or delete any uploaded document at any time from the pet's Documents area in the app.
9. Changes to Policy
We may update this Privacy Policy from time to time to reflect changes in our practices, technology, or legal requirements. When we make material changes, we will notify you through the App or by email. The "Last updated" date at the top of this policy indicates when the most recent changes were made. Your continued use of Chumi after any changes constitutes your acceptance of the updated policy.
